Social Media Inbox: How to Manage Every Comment in One Place

GoBrandIt engagement inbox with Instagram and Facebook comments, sentiment tags and AI reply

Posting is only half of social media. The other half is replying: comments on your Reel, a question under your Facebook offer, a mention from a happy customer. Miss them and you miss sales, and possibly a complaint that grows in public.

The problem is that comments are scattered across apps and accounts. A social media inbox pulls them into one place. This guide explains how a unified inbox works, how to manage social media comments efficiently, and what it looks like in GoBrandIt.

What is a social media inbox?

A social media inbox, sometimes called a unified or engagement inbox, collects comments, mentions and conversations from your connected accounts into one feed. Instead of checking each app, you see everything in one list, reply from one place, and mark conversations as done.

Why a unified inbox matters

  • Faster replies. Quick responses make people more likely to buy and to comment again.
  • Nothing slips through. Comments on old posts and mentions are easy to miss in native apps.
  • Teamwork. Several people can work through the same inbox without replying twice.
  • Context. You see which post a comment belongs to before you answer.
  • Brand safety. Negative comments get spotted and handled quickly.

A tour of the GoBrandIt engagement inbox

Here’s what the Engagement inbox looks like in GoBrandIt, with Instagram and Facebook comments from two accounts in one list.

The GoBrandIt engagement inbox: comments and mentions from Instagram and Facebook, sentiment tags, the original post for context and an AI-assisted reply box.

The conversation list

On the left, every new comment and mention appears with:

  • the network and account it came from
  • the type of interaction, such as Comment or Mention
  • a sentiment tag such as Positive or Neutral
  • a snippet of the post it’s attached to

Use the filter at the top to focus on one account, network or type.

The conversation view

Click a conversation to see the full thread on the right, including the post you’re replying to (with a View post link) and earlier comments. You can Like or Reply to individual comments.

Replying, with AI help

Write your reply at the bottom. The emoji button helps with tone, and the AI button can suggest a reply you can edit. When you’re done, choose Send or Send & resolve to reply and close the conversation in one step. Mark as unread keeps it on your list for later, and Resolve clears it.

AI Settings at the top let you adjust how AI replies are suggested. Always read and edit AI replies before sending, especially for complaints.

How to manage social media comments: a simple routine

When What to do
Morning Clear new comments and mentions from overnight
After each post goes live Reply to early comments in the first hour
Afternoon Check for questions about prices, stock or bookings
End of day Resolve everything, flag anything that needs a manager

For busy teams, assign one person per day as the inbox owner.

Reply templates that save time

Keep a few short templates for common situations, then personalise them:

  • Thank you: “Thank you so much, [name]! We’re so glad you enjoyed it.”
  • Price question: “Hi [name], it’s Rs. 1,200 / $12. Sending you the details by DM now.”
  • Availability: “Yes, it’s back in stock! Order here: [link], or DM us.”
  • Complaint: “Sorry to hear this, [name]. Could you DM us your order number so we can fix it today?”

Take complaints to direct messages quickly, but always reply publicly first so others can see you care.

Using sentiment to prioritise

Sentiment tags help you decide what to answer first:

  1. Negative: reply fast, stay calm and move to DM.
  2. Questions: these are often buying signals, so answer quickly.
  3. Positive: thank people, and ask happy customers if you can share their words.
  4. Neutral: reply when you can, or like the comment.

Inbox mistakes to avoid

  • Only replying to positive comments. Silence on complaints looks worse than the complaint.
  • Copy-pasted replies. Templates are a start, not the whole reply.
  • Deleting criticism. Unless it’s abusive or spam, respond instead.
  • Letting AI reply without review. Use it for drafts, not final answers.
  • No owner. If everyone is responsible, nobody replies.

How the inbox fits your workflow

Engagement works best alongside the rest of your process: plan on the content calendar, publish from one composer, reply from the inbox, then measure in analytics. If you manage several brands, each client workspace has its own inbox, so conversations never get mixed up. Read how to manage multiple social media accounts.
