You can schedule Facebook and Instagram posts together in two ways: with Meta Business Suite, which is free and built by Meta, or with a Facebook post scheduler that also handles your other networks. Both publish to a Facebook Page and an Instagram professional account at the time you pick. The difference is everything around the post: how easily you write different captions, whether TikTok and LinkedIn live in the same calendar, and how a team signs off.
This guide shows how to schedule Facebook and Instagram posts together step by step in both tools, how to tailor each caption, how to send one post to the feed and Stories at once, and how to fix the connection errors that stop most people on day one.
If you only need the Facebook side, our shorter guide on how to schedule Facebook posts covers it.
The short version
Connect your Instagram professional account to your Facebook Page first. Most errors start here.
Meta Business Suite is free and fine for Facebook plus Instagram only.
A scheduler pays off when you post to more networks or need approvals.
Write a separate caption per network. Same idea, different words.
Before you start: get the account setup right
Ten minutes here saves an afternoon of "why won't it connect?" later. Meta's guide to connecting a professional Instagram account to a Facebook Page lists the requirements, and they apply whichever tool you use.
1. Be an admin of the Facebook Page. Meta says you need Page admin access to connect an Instagram account.
2. Use an Instagram professional account. Business or Creator. If yours is personal, Instagram may prompt you to switch while linking, and third-party schedulers can't auto-publish to personal accounts anyway.
3. Link Instagram to the Page. In the Page settings, open Linked accounts, choose Instagram and connect. Meta notes that adding Instagram to your business account in Business Suite doesn't link it to the Page on its own.
4. Keep both in the same Business Manager. If your Page and Instagram are managed in Business Manager, Meta recommends adding both to the same one.
Tip
If posts start failing right after someone changes Page roles or Facebook login details, reconnect the accounts in your scheduler before you try anything else.
Method 1: Schedule in Meta Business Suite
Business Suite is the obvious starting point if Facebook and Instagram are your only networks. Its help center describes scheduling posts, Stories and Reels to Facebook, Instagram or both from one composer, with everything visible on a calendar.
For a feed post (desktop)
1. Open Business Suite on desktop and create a new post, or click a date in the calendar.
2. Choose where it goes: your Facebook Page, your Instagram account, or both.
3. Add your photo or video. Instagram posts must include media, so a text-only post won't go to Instagram.
4. Write your caption. If you want different text for each platform, look for the option to customise by platform. If your version doesn't show one, create two posts instead.
5. Choose to schedule instead of publishing now, set the date and time, and confirm.
For a Story (mobile app)
Meta's Business Suite help article gives these steps for the mobile app: add your media, tap Share on, select your Facebook Page, Instagram account or both, tap Schedule for later, pick the date and time, then tap Done. Scheduled items show under Posts and stories, in the Calendar view.
Business Suite has limits worth knowing. Facebook extras like Feeling/Activity and coloured backgrounds aren't supported when posting to Instagram, and it only covers Meta's apps.
Method 2: Use a Facebook post scheduler
A dedicated Facebook post scheduler makes sense once you also post to TikTok, LinkedIn, YouTube or Google Business Profile, or when someone has to approve posts before they go live. Here's the flow in GoBrandIt; most schedulers work in a similar order.
1. Connect your Facebook Page and Instagram professional account from the accounts screen.
2. Open the composer and select both accounts. The post gets a separate version for each network.
3. Add your media and write the main caption. Use "Adapt with AI" if you want a first draft of each network's version in your Brand Voice.
4. For Instagram, choose feed post, Reel or Story. Add collaborators or a first comment if you need them.
5. Check the live preview for each network, then pick Schedule, Post now or Add to Queue.
The scheduled post lands on the content calendar, where you can drag it to another day. If one network fails, retry it on only that account instead of reposting everywhere. More on the setup is on our Facebook integration page.
Tailor each caption, don't copy-paste
Facebook and Instagram audiences overlap, but they read differently. Facebook is the place for a little more context and a link. Instagram leans on the image, a strong first line and hashtags. Here's the same post from a Pokhara lakeside hotel, written twice:

Keep each version inside the network's character limit. Our social media character limits table has every number in one place.
Feed post and Story in one go
Posting a launch to the feed and then remembering to make a Story an hour later is how Stories get skipped. Do both at once.
In Business Suite: schedule the post, then schedule a Story with the same media for the same time. It's two items, but both sit on one calendar.
In GoBrandIt: tick Also share to Story on an Instagram or Facebook post and it goes to the feed and Stories together.
Size it right: a square feed image looks small in a Story. Make a 9:16 version for Stories if you can.
Tip
Stories with stickers, links or music can't be auto-published by third-party tools. Post those from the app, or use a reminder.
Common errors when you schedule Facebook and Instagram posts together

Meta Business Suite or a scheduler: which should you use?
Our honest take: if you're a single business posting only to Facebook and Instagram, start with Business Suite. It's free, it's Meta's own tool, and it handles posts, Reels and Stories.
Move to a scheduler when any of these is true:
You post to three or more networks and want one calendar.
You want a queue that fills preset time slots instead of picking every time by hand.
Someone needs to approve posts, like a client or a manager.
You manage several brands and want them kept apart.
GoBrandIt covers those cases, plus a shared inbox for comments and messages. Its Free plan includes 3 accounts and 15 scheduled posts, so you can learn how to schedule Facebook and Instagram posts together in one tool before paying a rupee or a dollar. If you post the same campaign across many networks, our guide to posting to multiple platforms goes further.

Frequently asked questions
Can I schedule a post to Facebook and Instagram at the same time?
Yes. Meta Business Suite lets you select both your Facebook Page and Instagram account in one post, and schedulers like GoBrandIt do the same with a separate caption per network.
Why can't I see my Instagram account in Meta Business Suite?
Usually the Instagram account isn't linked to your Facebook Page, or you aren't a Page admin. Link it from the Page's Linked accounts settings.
Do I need an Instagram business account to schedule posts?
To auto-publish from a third-party scheduler, yes: a Business or Creator account. Personal accounts only get reminder-style posting.
Can I schedule Instagram Stories with Meta Business Suite?
Yes. Meta's help center explains how to schedule Stories to your Facebook Page, Instagram account or both from the Business Suite app.
Why did my scheduled Instagram post only go to Facebook?
Instagram posts need a photo or video. A text-only post can go to Facebook but not Instagram.
